Project Manager

Adjaye Associates are seeking a project manager for our London studio with an architectural background to manage projects and resourcing across the office. They could be an architect with five or more years experience who is already doing some level of; project programming, internal resource management, administration of contracts, building regulation compliance, fee negotiation with specialist contractors and management of budgets. They will be looking to move these skills into a business-wide role.

Responsibilities include but are not limited to:

  • Project programming

Establish an overall project programme with the project leader/project architect, client and external partners. Oversee and ensure project programme deadlines are met; challenge time frames to safeguard the design periods. Prepare detailed design programmes appropriate to the work stage clearly outlining objectives, interim information exchanges and design team outputs to ensure the whole design team has a clear understanding of how and what they need to contribute to meet contractual milestones. Responsible for project programme and internal project budget management. During construction, ensure the project team reviews submittals and shop drawings, coordinates the response to RFIs; coordinating with the owner’s representatives, contractors and executive architects.

  • Internal resource management

Support and monitor the delivery of projects in line with the project brief, contractual framework and resource plan. Collaborate closely with the project leaders/project architects, structure the teams and workload effectively to ensure appropriate usage of resources. Identify and mitigate areas of risk/ concern and their potential impact. Actively monitor the internal teams’ adherence to defined scope and ensure the project teams stay on track staying within what is required and not taking on tasks outside of their scope.

  • Fee negotiation

Calculation of fee proposals, review resourcing estimates and estimate build costs and generally manage all queries regarding appointments and contract administration including assisting in resolving any contractual issues. Work with project directors to negotiate terms of appointments. Prepare claims for additional services/fees that may arise as well as managing any disputes or potential claims.

  • Knowledge exchange

Participate in sharing knowledge with other project teams through cross team activities such as design reviews. Participate in learning activities, keep abreast of statutory regulations, technological developments and regularly attend internal studio talks and workshops. Develop professional and technical skills. Share knowledge, experience and lessons learned across the team and the wider studio.

  • Administration

Contribute to the maintenance of records of potential projects and projects. Prepare and analyse records quickly and clearly and in order to present them to management.

Adjaye Associates are seeking an experienced Document Controller to work on high-profile projects across the office.  Experience working with Aconex specifically and other document control systems such as Conject and 4Projects would be ideal.  The role carries high-level responsibility.

Responsibilities include but are not limited to:

  • Ensure a logical, systematic approach to the management of information within the project team
  • Manage all incoming and outgoing drawings and technical documents issued
  • Facilitate submission documentation transfer between external and internal server portals
  • Save all incoming and outgoing drawing and document files in accordance with the filing structure and systems

Responsibilities:

The successful candidate will understand the design process through programming; interior architecture; architectural specification; documentation; and furniture, fixture and equipment (FF&E) specifications. We are looking for someone who has prior experience working in an interior design studio and is familiar with high-end, custom design processes.   • Manage interior projects from schematic design through installation

Adjaye Associates is looking for a Visualizer in our New York office. The ideal candidate has a minimum of two years of professional experience in a marketing or business development role within the Architectural or Interior industry. The coordinator should be a proven self-starter, able to identify areas of growth or opportunity and execute projects with minimal direction, work well under pressure, able to manage and prioritize multiple tasks often with competing deadlines.

Responsibilities include but are not limited to:

  • Creating high-quality renders in cooperation with and under the direction of project leaders, design staff
  • When applicable, producing animations and VR materials
  • Building and organizing our visualization library

Experience & Qualifications:

  • A Bachelor’s degree in graphics, art, architecture or other design-related
  • Experience in Architectural visualization preferred
  • Solid understanding of all phases of production and render farms
  • Creative and thoughtful, with a keen eye for details
  • Comfortable collaborating with colleagues at various levels, from junior to directors

Front-of-House Team Assistant
We are looking for a Front-of-House Team Assistant to organize and coordinate office administration and procedures, to ensure organizational effectiveness, efficiency, and safety. This person must be exceedingly well-organized, flexible, and enjoy the administrative challenges of supporting an office of diverse people. Our team needs a self-starter with the ability to keep calm under pressure, prioritize and multitask.

Responsibilities include but are not limited to:

Reception:
• Answer phones, filter calls, take messages, and notify staff of missed calls; assist with phone system administration
• Arrange security access for guests and deliveries to building
• Greet guests by escorting them to a conference room; offer, prepare, and serve them refreshments
• Receive, sort, and distribute incoming mail and facilitate outgoing mail and packages

Office Administration:
• Process meeting and scheduling requests. Administer meeting room and all-staff calendars
• Book and prepare meeting rooms (mix of in-person and video conferencing) and ensure meeting rooms are always presentable and kept clean
• Order and set up breakfast, lunch, and catering as needed
• Assist with the organization of office events and cultural visits
• Keep office tidy throughout the day. Stock drinks and snacks, load and unload dishwasher
• Monitor, order, and organize inventory of office supplies and groceries and receive and unpack deliveries
• Ensure efficiency and maintenance of systems such as alarm and telephone
• Maintain and update emergency procedures, including first aid and fire warden training
• Assist staff as needed with tasks such as booking travel arrangements
• Support C-level staff as needed

• Provide and field general office and administrative support, including working with the IT provider to assist with basic troubleshooting, running errands, and ad hoc requests

We are looking for a Researcher who has an eagerness to evolve and wants to jump straight into our busy and energetic studio to assist our research department. The ideal candidate has conducted research within the field of architecture, design, or visual cultures. This person must be independent and self-sufficient but able to work cooperatively with our team members and with other teams within the office. He/She/They must be well-organized and able to prioritize tasks to meet all deadlines and expectations, whilst also adapting to the guidance of the department’s requirements. This candidate will contribute to various projects, competitions, publications and exhibitions at Adjaye Associates.

Role Requirements:
