Executive Assistant

The ideal candidate will assist with high-level administrative support to the studio’s C.E.O, specifically scheduling, correspondence, and other administrative duties. This position demands great organisational skills, discretion, and the ability to handle confidential material with integrity. The Executive Assistant will act as the main contact between the executive, internal teams, clients, and external stakeholders. 

 

Essential Duties & Responsibilities: 

  • Serve as the liaison between the executive, clients, staff, and external partners.  
  • Write, review, and send communications on behalf of company executives. 
  •  Scheduling appointments, updating executive calendars, and providing daily briefings 
  • Organize and prepare for meetings, including attending to logistics and documents that will be needed. 
  • Write and distribute meeting minutes and distribute, as necessary. 
  • Coordinate travel arrangements, prepare detailed itineraries, organise, and submit/claim expenses.  
  • Screen all incoming phone calls, enquiries, visitors, correspondence, and route accordingly. 
  • Sort, rank, and occasionally reply to emails on the CEO’s behalf. 
  • Maintain confidentiality of sensitive information both internally and externally 
  • Manage complex office administrative work requiring the use of independent judgment and initiative. 
  • Maintain databases and accurate records of information. 

 

Skills & Qualifications: 

  • Bachelor’s degree 
  • 5+ years of experience in administrative support functions  
  • Strong organisational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail. 
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms 
  • Excellent verbal and written communications skills 
  • Good time management and flexibility in working hours.  
  • Being able to interact with people from all levels of the firm in a polite and professional manner. 
  • Ability to multitask, prioritise tasks and work well under pressure. 
  • Very strong people skills and the ability to build relationships with key stakeholders.
