Project Controller

The ideal candidate will be responsible for the delivery of project controlling responsibilities and provision of project management support for AA’s London office. The role sits in the intersection between Project Management, Finance/Accounts and Commercials, and requires a high degree of self-motivation and confidence, working closely with leads of all three departments.

The Project Controller will be responsible for providing regular reporting on progress of projects and financial project performance, while supporting the Project Management team on dedicated projects, and will be responsible for the management and maintenance of CMAP.

Project Controlling

  • Establish and maintain digitally recorded overview of project budgets, resourcing needs, and schedules, while monitoring project financial performance – flag areas of concern regarding budget/profitability to CEO.
  • Periodically compile and analyse relevant data to provide insight into project progress and historical financial performance.
  • Maintain and manage CMAP.
  • Interface with PD/PA/PMs and Commercials team to establish project timeframes, budgets, performance, forecasting and receivables.
  • Interface with PD/PA/PMs to understand and improve project performance areas impacting profitability.
  • Ensure employee hours are submitted on a weekly/biweekly basis and are approved by relevant PD/PAs.
  • Periodic analysis of CMAP recorded employee work hours and appropriate reporting to relevant stakeholders, using data to predict trends and identify patterns (i.e., overtime worked, sick leave etc.).
  • Support PD/PA/PMs to identify additional services for projects.
  • Manage project invoicing in accordance with contractual agreements and client requirements and support Accounts team with required dunning activities to ensure prompt payment of outstanding invoices.
  • Support PD/PA/PMs on CMAP use and provide staff training as necessary, including input in onboarding as necessary.
  • Initiate and lead ‘Project Status Meetings’ with relevant stakeholders (PD/PA/PM/CEO) at regular intervals / in accordance with project milestones, following up outstanding action points.
  • Support Accounts team, contributing to month-end closing process through Work-in-Progress review.
  • Various ad hoc tasks based on local leadership team requirements from time to time.

Project Management

Support the Project Management team in the management of projects, supporting Design Teams to ensure successful project delivery, on time and to budget whilst protecting the integrity of the design and upholding compliance with Adjaye Associates procedures and standards.

  • Assist in developing detailed project plans, defining scope, objectives, deliverables, and timelines.
  • Support the management of project teams, assign tasks, set goals, identify resourcing needs and ensure the deliverables are understood by the team to ensure timely completion of project milestones.
  • Assist in the management of change as the design evolves and liaise with Senior Management, subconsultants and the Commercial team in the preparation for additional services/fees.
  • Identify and mitigate project-specific risks and challenges.
  • Communicate project progress, updates, and expectations to stakeholders, implement and monitor quality control processes, and manage project timelines.
  • Review sub-consultants fee proposals, resourcing estimates and manage queries regarding appointments and contract administration (in connection with the Commercial team).
  • Ensure comprehensive project archiving of documentation, reports, and other relevant records.
  • Collaborate with the wider Project Management team to enhance project management processes, structures and tools.

Qualities & Skills Required

  • Able to demonstrate ability to undertake responsibilities.
  • Financial Acumen: Understanding of CMAP essential to support tracking of project budgets, financial reporting, and cost control measures to ensure projects are delivered within budget constraints.
  • Communication: Strong verbal and written communication skills to effectively convey project performance objectives, updates, and expectations to key stakeholders. Able to manage sensitive and often confidential information.
  • Time Management: Strong organizational skills to manage workload, prioritize tasks, and meet deadlines.
  • Team Management: Skill in managing and motivating teams, assigning tasks, and ensuring team members have the resources needed to succeed.
  • Industry Knowledge: Knowledge of architecture and construction industry practices, standards, procurement, professional services contracts and regulations to guide projects successfully within the field. Relevant Professional qualification in Architecture, Project Management or Engineering. Previous experience in project delivery across all RIBA stages of work.
  • Risk Management: Skill in identifying, analysing, and mitigating project risks to ensure successful project outcomes.
  • Problem-Solving: Proficient problem-solving skills to address challenges and make informed decisions throughout the project lifecycle. Flexible attitude to approaching challenges.
  • Negotiation: Ability to negotiate effectively with clients, contractors, and other stakeholders to achieve project objectives and resolve conflicts.
